A missed-call text-back sends an automatic text message to anyone whose call to your business goes unanswered. The caller gets a reply within seconds instead of silence. To run one properly, you need four pieces: a business number that can send SMS, a registered texting campaign, a short first message, and automatic opt-out handling.
This guide walks through each piece in the order you set it up.
What a missed-call text-back does
- A customer calls your business line and nobody picks up: the line is busy, the call rings out, or it is after hours.
- Your phone system sends one text from the same number, naming your business and asking how you can help.
- The customer replies by text. The conversation lands in your inbox or CRM, where a person or an AI assistant answers questions, qualifies the request and books the appointment.
The text does not replace a callback. It opens a second channel your customer can answer on their own time.
Step 1: Define what counts as "missed"
Your trigger needs a precise rule. Twilio, a cloud phone and SMS platform, documents call statuses this way: "busy" means Twilio "received a busy response," and "no-answer" means "no one answered before the timeout parameter value elapsed."
One detail many setups miss: a call that reaches voicemail is marked "completed," because audio was transferred. If your line rolls to voicemail, add a second rule — for example, treat every call that ended in voicemail as missed.
Step 2: Check that the number can receive a text
Some callers dial from landlines, which are built for voice. A lookup step before the text handles this. Twilio's Line Type Intelligence returns a number's line type, including mobile, landline, fixedVoip, nonFixedVoip and tollFree. Text the mobile numbers, and send landline callers to a callback task for your team.
Step 3: Register your texting before you send
US carriers require businesses that text from regular local numbers to register under a standard called A2P 10DLC. Twilio describes it as "the standard that United States telecom carriers have put in place to ensure that SMS traffic to US end users through long code phone numbers is verified and consensual." According to Twilio's changelog, all unregistered messages bound for the US from +1 10DLC numbers have been blocked since September 1, 2023.
Registration has two parts:
- Brand — who is sending (your business details).
- Campaign — what you send, and how people opt in, opt out and get help.
Pick the brand type that fits your volume. Per Twilio's documentation, a Sole Proprietor brand allows one campaign and up to 1,000 SMS segments per day to T-Mobile (about 3,000 across US carriers). A Low-Volume Standard brand allows up to 2,000 segments per day to T-Mobile (about 6,000 across US carriers). Standard and Low-Volume Standard brands require a Tax ID. In your campaign description, say plainly that you text people who called and did not reach anyone.
Step 4: Write a short first message
Keep the first text informational and tied to the call. A template:
Hi, this is [Business Name]. Sorry we missed your call. How can we help? Reply STOP to opt out.
Name the business, reference the call, ask one question and show how to stop texts. Leave promotions out: this message is a reply, not a campaign.
Step 5: Handle opt-outs automatically
Twilio honors standard keywords by default: STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, REVOKE, OPTOUT and QUIT. When someone replies with one of them, Twilio adds the number to a block list, and the API rejects further messages to it. START, YES and UNSTOP resubscribe the number.
Close two gaps in your workflow:
- Only single-word replies trigger the block. A reply like "please stop texting me" does not, so route plain-language requests to a person or flag them in your flow.
- Sync every opt-out to your CRM so no other tool texts that number.
The rules on revoking consent are also changing. The FCC approved a revision of its TCPA consent-revocation rules on September 30, 2026 (FCC 26-67). According to an October 13, 2026 summary by the law firm Kelley Drye, the changes take effect 30 days after a notice is published in the Federal Register, and an opt-out from informational messages does not automatically revoke consent for marketing messages. Separately, an FCC rule in effect since April 4, 2024 says a single confirmation text with no marketing, sent within five minutes of an opt-out request, is presumed to fall within the person's prior consent.
General information, not legal advice.
Step 6: Connect the reply to real work
The text-back is the first touch. Wire up the rest:
- Tag the lead source as "missed call" in your CRM.
- Create a follow-up task if the customer does not reply.
- After hours, let an AI assistant answer common questions, collect details and offer appointment slots.
- During business hours, route replies to the person who runs your schedule.
A hypothetical example
Here is a hypothetical example. An HVAC company in Texas misses a call at 7:40 p.m. Within seconds, the caller gets a text from the company's number. She replies that her AC stopped cooling. An AI assistant asks for her zip code and a good time window, offers two morning slots and books one. The next morning, the dispatcher sees the job, the conversation and the lead source — "missed call" — in the CRM.

One honest note: there is no universal multiplier. The outcome depends on your industry, your ticket, and how much of your volume is urgent versus price-shopping. Anyone promising a fixed return is selling, not calculating.
